I have a Netgear Wireless dongle at work for internet access and a few of us connect to it. I want to get a external HDD which will connect to the wifi hotspot and share folders only over the local network for several people to access.

Any recommendations or pitfalls to avoid?

You can get portable hard drives with WiFi built in.

Reminds me: I still have my WD one I meant to sell on eBay Rolling Eyes

The biggest pitfall is you are letting multiple people access the folders on one HDD. Presumably as read/write users and not read only?

As such, someone WILL fuck it up. 100% garaunteed. Make sure you have good offsite backup.

Yes everyone will have read/write but that's a requirement. It's a small on-site office where we are sharing a heavy admin workload and constantly updating documents, registers, inspection sheets and other documents. Currently we have a laptop each and a thumb drive or email to swap files. It's a clunky setup which gets messy when you can have three separate laptops with different versions of files on them. Also, it's a construction site office and they sometimes get rifled. If we lose the laptops the whole working folder I've spent nearly a month compiling is gone and we'll be up the creek.

I plan to hide the network drive so if the laptops get snatched we can pick up the work without much fuss.

Could also consider something like OneDrive or Dropbox in this instance, protected by user login and job done, provided the files aren't mahoosive.

Or a VPN to an HDD elsewhere?

Sounds like a case for storing your data on someone else's computer. I'm not keen on it myself, but it's happening a lot, and it's cheap. Look into peripheral issues such as SLAs, backups/security etc. if you go that way. You probably know all this stuff anyway.

I would consider OneDrive. Building site, physical spinning disk, I'd see it being knocked once or twice. Unless you are going solid state.

Could get a Western digital passport Nas and expose to the net, but it's a risk as everyone can get the login page.

Could probably host for you if it's not huge stuff.

VPN to an offsite Synology NAS works well and will give you full user control and backup facilities.

Also the built in firewall can block ip addresses that fail to login correctly after a set number of attempts. This gives you pretty good protection from the outside world.

Off-site is difficult as we're sharing 8gb and some files are not only big but edited/shared daily.

I thought the passport drives we're non-wireless Paddy?
I've been looking at the 4tb WD my cloud ones on offer in Curry's. Never used anything like this before so I don't know how suitable it will be and how I can set access levels but for £140 I might just get one and see.

Might want to look at a Raspberry Pi 4 with a USB3.0 external drive. You can tinker with things like user accounts, home folders, security, VPN etc. for fuck-all money.

There are passport wireless pros, bit more costly but nice!

Larger files and wireless fills me with fear though, I still hate mounting 2GB ISOs and accessing wirelessly so its almost worth having a router onsite with a USB/NAS input, getting a 2TB external disk and having users physically plug into the router.

I'd recommend a physical disk onsite, with a nightly back up to offsite/online location.

The Synology units are brillant and offer a considerable amount of functionality for a relatively small cost.
